Repair Statuses Overview

Repair statuses lie at the core of tracking repairs through the repair process. As an item moves through the various steps of the repair process — from receipt of the item through estimating, servicing or repair, invoicing, and finally returning it to the customer — the status of the repair order is changed to reflect the current step. Some repair statuses have preprogrammed functionality within At Your Service, while others simply represent an intermediate step. All repair statuses can be renamed, and existing repair statuses can be divided into sub-steps by creating custom repair statuses with equivalent functionality. All active repair statuses are automatically assigned a sequential letter of the alphabet or a numeric digit from 0 to 9 for quick reference, therefore there can be a maximum of 36 active repair statuses.

Repair statuses are divided into two main categories — repair order and repair estimate statuses, and repair invoice statuses. The main difference is that repair order records with a repair invoice status are considered repair invoices and affect all financial and accounting reports and related program features. Repair order records with a repair order or repair estimate status are not included on financial and accounting reports.

Repair Status

Description

Awaiting Arrival or Dispatch

This repair status indicates either that an item has been shipped to the repair shop for servicing or repair and has not arrived yet, or an order has been made for a technician to be dispatched on-site for servicing or repair of an item.

Awaiting Estimate

This repair status indicates that an item has been received for servicing or repair by an in-house technician, or that a technician has been dispatched on-site to do servicing or repair of an item, and the technician is to prepare an estimate.

This repair status is not available in the Retail SQL and Retail editions. In all other editions this repair status is integral to the operating of the program and therefore may not be deactivated.

Awaiting Re-Estimate

This repair status indicates that an estimate was previously prepared for servicing or repair of an item by an in-house or on-site technician, but that it needs to be re-estimated.

This repair status is not available in the Retail SQL and Retail editions.

Awaiting Estimate Approval

This repair status indicates that an estimate was prepared for servicing or repair of an item by an in-house or on-site technician, and the customer needs to approve or refuse the estimate.

This repair status is not available in the Retail SQL and Retail editions. In all other editions this repair status is integral to the operating of the program and therefore may not be deactivated.

Awaiting Repair or Repair in Process

This repair status indicates that the estimate for servicing or repair of an item by an in-house or on-site technician has been approved and the item is now awaiting servicing or repair, or the servicing or repair is in progress.

This repair status is not available in the Retail SQL and Retail editions. In all other editions this repair status is integral to the operating of the program and may not be deactivated.

Awaiting Parts          

This repair status indicates that parts have been ordered for an item to be serviced or repaired by an in-house or on-site technician, but the parts have not yet arrived.

This repair status is not available in the Retail SQL and Retail editions.

(Subcontracted)  Awaiting Shipment to Repair Vendor

This repair status indicates that the servicing or repair of an item is to be done by a subcontracted third-party repair vendor, and the originating repair shop, retail store, or repair depot is to ship the item to that vendor for estimating.

(Subcontracted)  Awaiting Estimate

This repair status indicates that an item has been received by a subcontracted third-party repair vendor for servicing or repair, and the vendor is to prepare an estimate.

This repair status is integral to the operating of the program and therefore may not be deactivated.

(Subcontracted)  Awaiting Re-Estimate

This repair status indicates that an estimate was previously prepared for servicing or repair of an item by a subcontracted third-party repair vendor, but that it needs to be re-estimated.

(Subcontracted)  Awaiting Estimate Approval

This repair status indicates that an estimate was prepared for servicing or repair of an item by a third-party repair vendor, and the customer needs to approve or refuse the estimate.

(Repaired)  Awaiting Shipment from Repair Vendor

This repair status indicates that the servicing or repair of an item by a subcontracted third-party repair vendor has been completed, and the item is to be shipped from that vendor back to the originating repair shop, retail store, or repair depot.

(Repaired)  Awaiting Pickup by/Shipment to Customer

This repair status indicates that the servicing or repair of an item has been completed by an in-house or on-site technician, or has been received back from a subcontracted third-party repair vendor, and the item now needs to be either shipped back to or picked up by the customer. This repair status is integral to the operating of the program and therefore may not be deactivated.

(Repaired)  Returned to Customer

This repair status indicates that the serviced or repaired item has been returned to the customer. This repair status is integral to the operating of the program and therefore may not be deactivated.

(Refused by Customer)  Awaiting Shipment from Repair Vendor

This repair status indicates that the estimate prepared by the subcontracted third-party repair vendor was refused by the customer, and the item is to be shipped from that vendor back to the originating repair shop, retail store, or repair depot without servicing or repair.

(Refused by Customer)  Awaiting Pickup by/Shipment to Customer

If the estimate was prepared by an in-house or on-site technician then this repair status indicates that the estimate was refused by the customer and the item now needs to be either shipped back to or picked up by the customer. If the estimate was prepared by a subcontracted third-party repair vendor then this repair status indicates that the estimate was refused by the customer, the item has been received back from that vendor, and the item now needs to be either shipped back to or picked up by the customer. This repair status is integral to the operating of the program and therefore may not be deactivated.

(Refused by Customer)  Returned to Customer

This repair status indicates that the estimate was refused by the customer, and the item has been returned to the customer without servicing or repair. This repair status is integral to the operating of the program and therefore may not be deactivated.

(Refused by Technician)  Awaiting Shipment from Repair Vendor

This repair status indicates that a third-party repair vendor refused to prepare an estimate (e.g. the servicing or repair would not be economically viable), and the item is to be shipped from that vendor back to the originating repair shop, retail store, or repair depot without servicing or repair.

(Refused by Technician)  Awaiting Pickup by/Shipment to Customer

This repair status indicates that an in-house or on-site technician refused to prepare an estimate (e.g. the servicing or repair would not be economically viable) and the item now needs to be either shipped back to or picked up by the customer. Or, if the item was sent to a subcontracted third-party repair vendor who refused to prepare an estimate, then this repair status indicates that the item has been received back from that vendor, and the item now needs to be either shipped back to or picked up by the customer.

(Refused by Technician)  Returned to Customer

This repair status indicates that either an in-house or on-site technician or a subcontracted third-party repair vendor refused to prepare an estimate (e.g. the servicing or repair would not be economically viable), and the item has been returned to the customer without servicing or repair.

Abandoned

This repair status indicates that an item (either serviced or repaired, or not) has been abandoned by the customer. Typically this would be because it is not economically viable to repair the item and the customer just leaves it since it is not working, or the customer fails to pay for the servicing or repair within the period specified according to the terms of the repair estimate. Abandoned items are typically either resold or used for parts.
